TOWN OF GRANT
WASHINGTON COUNTY, MINNESOTA
 
A RESOLUTION CONCERNING THE ACCESS OF THE PUBLIC TO GOVERNMENT DATA IN THE TOWN
 
 
WHEREAS, the Town has not, in the past, had any formal policies in place to insure the public with prompt, efficient and reasonable
access to the Town's public data; and
 
WHEREAS, the Town is growing in size, at the same time, the number and scope of requests for inspection and copying of public
data has also been growing; and
 
WHEREAS, the Town has a duty to its citizens pursuant to Minnesota law to provide access to alt public data held by the Town at
reasonable times and places; and
 
WHEREAS, the Town has the authority to require the requesting persons to pay the costs of making, certifying, compiling and
electronically transmitting the copies of the data or the data itself; and
 
WHEREAS, the Town now wishes to implement a system where the public will be able to access public data, but the Town staff will
not be unnecessarily disrupted from their regularly busy work schedule; and
 
WHEREAS, Minnesota law provides that if the responsible authority or designee is not able to provide copies at the time a request is
made, copies shall be supplied as soon as is reasonable possible.
 
NOW THEREFORE, THE FOLLOWING POLICY IS HEREBY RESOLVED TO BE ADOPTED BY THE TOWN BOARD OF
THE TOWN OF GRANT, WASHINGTON COUNTY, MINNESOTA AS FOLLOWS:
 
1. That persons requesting to review, inspect or copy public data shall address their request to the Town Clerk in writing. Said written
request shall be as specific a description as possible of the data requested.
 
2. Unless it is impracticable or unreasonable, given the specific request for information, all inspections and copying of public
documents held by the Town shall be made at the Town Office.
 
3. That at the time a written request for information is received by the Town, the Town Clerk shall inform the requestor that the
requestor will be responsible for a charge for certifying, copying or electronically transmitting the copies of data for the individual.
 
4.   That all persons requesting documents from the Town shall pay a photocopying or electronic transmitting cost of $1.00 per page
for each document produced. Additionally, in order to save staff time, documents shall be copied on one side of a sheet of paper only
(unless the Town Clerk determines that to do so would be unreasonable in a given. circumstance).
